The position is responsible for coordinating and expediting the flow of materials, parts, and assemblies between departments, ensuring seamless operational efficiency. The incumbent will verify that vendor paperwork matches Dexter's Purchase Orders (PO) in terms of quantity, pricing, and PO number, and will submit accurate vendor paperwork within 24 hours of goods arriving at Dexter. Additionally, the role involves providing on-demand reports, maintaining spreadsheets for multiple vendors, processing semi-annual inventory checks, and tracking physical inventory to ensure accuracy and optimal stock levels. More specifically, this position will be responsible for activities including but not limited to the following: A) Maintain comprehensive documentation systems to ensure accurate material prioritization, availability, and efficient production, minimizing downtime and supporting seamless operation · Maintain documents such as Kanban sheets, parts spreadsheet by vendor, and production supplies to determine material prioritization, availability, and requirements. · Maintain and analyze material planning sheets, place orders as needed, provide feedback to leads and production supervision, and implement the material planning strategy to maintain a five-day lead time, improving production efficiency and reducing downtime. · Maintain and compile manual or computerized records such as material inventory, in-process production reports, and status and location of material B) Implement synchronization with vendors and production activities, ensuring compliance with SOX requirements, accurate issuance of purchase orders, and efficient intercompany transfer of materials to meet production schedules · Implement the synchronization with vendors and production or shipping activities, eliminating delays and parts outages (e.g., establishing outside processing tracking sheets). · Implement the preparation and issuance of purchase orders and change notices in compliance with SOX requirements. Review quotations/proposals and order acknowledgements for conformance to company policy, legal correctness, price, and acceptability of items to specifications. · Implement the intercompany transfer of materials to meet production schedules. · Implement and process shop orders for parts that go to and that return as outside processing from external vendor C) Owns the communication process, ensuring timely and accurate dissemination of information through meetings, emails, and texts to prioritize 'hot parts,' maintain truck load sheets and receiving logs, and ensure the accuracy of shop orders from initiation to completion · Own the communication through various channels, such as the daily production meeting, emails, and text messages, to identify and prioritize 'hot parts' requiring immediate attention. · Own the maintenance of the truck load sheet and receiving log as needed. · Own the accuracy of shop orders by printing, distributing, correcting issues, completing all labor entry from finished shop orders daily, and accurately closing all completed shop orders by shop floor departments. |
D) Ensures the accuracy and compliance of all documentation, successful execution of semi-annual inventory checks, timely processing of shipment orders, and prompt distribution of shop orders and schedule changes. |

- Integrate immediate responses to production leadership, expedite supply list requests, requisition materials with accurate delivery dates, ensure vendor paperwork accuracy, and relay schedule changes promptly to shop personnel.

- Integrate the verification of picking tickets against packing slips, adding freight costs, confirming shipments for billing, distributing back-order copies, and reporting daily sales and back orders to management.
- Integrate and relay information to shop personnel in a timely manner when notified of changes to build schedules, shop fab sheets, etc.
- Assist various departments as needed, maintain the axle tag log in Excel, and perform other assigned tasks to support overall operational efficiency
